The Opportunity:

The Corporate Accounting Assistant plays a key role in supporting the Controller and Finance team in the accurate and timely management of Paragon’s multi-corporation structure. This position is responsible for day-to-day accounting support across all corporate entities, including reconciliations, accounts receivable, accounts payable, document management, and annual corporate compliance. The Corporate Assistant will also cross-train in AP workflows to provide effective coverage during peak periods or absences.

This role requires exceptional attention to detail, strong organizational abilities, and the capacity to work in a fast-paced environment with competing deadlines.

What You’ll Be Doing:

1. Controller Support & Corporate Administration

  • Assist the Controller with daily, weekly, and monthly accounting tasks.
  • Prepare reconciliations for bank accounts, credit cards, intercompany balances, loans, and trust accounts across all entities.
  • Support monthly, quarterly, and annual corporate reporting requirements.
  • Assist with preparation and maintenance of annual corporate filings, minute books, resolutions, and related compliance documentation.
  • Maintain organized digital folders and ensure all corporate documents are stored accurately in SharePoint according to Paragon standards.
  • Support the Controller with year-end prep for external accountants, including pulling reports, organizing working papers, and compiling backup documentation.

2. Accounts Receivable (AR) Support

  • Prepare and issue invoices for corporate entities as required.
  • Track and follow up on outstanding receivables.
  • Maintain accurate AR ledgers and support reconciliation of AR accounts.
  • Assist with administrative workflows related to rent rolls, intercompany charges, management fees, and internal cost reallocations.

3. Accounts Payable (AP) Support & Cross-Training

  • Cross-train on the full AP cycle to provide coverage during vacations, high-volume periods, or as needed.
  • Review and code invoices for accuracy and correct corporate entity allocation.
  • Enter invoices into accounting software and support payment runs.
  • Support the Controller in developing consistency and accuracy in AP workflows across Paragon.
  • Assist with vendor setup, T4A collection, and maintain vendor records.

4. Corporate Reconciliations & Financial Accuracy

  • Perform monthly reconciliations for all assigned accounts across multiple corporations.
  • Investigate discrepancies and work with internal teams (Construction, Property Management, Executive Leadership) to resolve outstanding items.
  • Maintain intercompany schedules and ensure accurate and timely allocations between entities.
  • Prepare summaries and reports to support financial accuracy, budgeting, and audit processes.

5. Administrative Support & Special Projects

  • Assist with document creation, templates, and standardized accounting SOPs.
  • Support the Controller with implementation of new systems, processes, or financial controls.
  • Assist with corporate insurance renewals, loan compliance documentation, draw packages, and other administrative tasks as needed.
  • Take, distribute, and save meeting minutes (in collaboration with other team members)
  • Provide general support including filing, digital organization, data entry, and correspondence.

What You Bring to the Team:

·      Diploma or certificate in Accounting, Finance, or Business Administration preferred.

·      2+ years of experience in an accounting or administrative role; experience in a multi-entity environment considered an asset.

·      Strong understanding of basic accounting principles, including reconciliations, AP/AR, and general ledger work.

·      Proficiency in Microsoft Excel and accounting software (QuickBooks Online/Desktop, Yardi, or similar).

·      High level of accuracy, confidentiality, and professionalism.

·      Strong communication and organizational skills with the ability to prioritize tasks effectively.

·      Ability to work independently and collaboratively within a fast-paced team.

Compensation

$60,000.00 - $65,000.00 per year

Work Hours:

Monday to Friday, 8:30 AM to 4:30 PM
