The Opportunity
The Intermediate Accounting Assistant plays a key role in supporting the Controller and Finance team in the accurate and timely management of Paragon’s multicorporation structure. This position is responsible for daytoday accounting support across all corporate entities, including reconciliations, accounts receivable, accounts payable, document management, and annual corporate compliance. This role works closely with the Accounting Team, Financing, Property Management, and Executive Leadership to support accurate financial records and reporting. The Intermediate Accounting Assistant will also crosstrain in Accounts Payable workflows to provide effective coverage during peak periods or absences.
This role requires exceptional attention to detail, strong organizational abilities, and the capacity to work in a fast-paced environment with competing deadlines.
What You’ll Be Doing:
1 Controller Support & Corporate Administration
· Support the Controller with daily, weekly, and monthly accounting activities
· Prepare bank, credit card, intercompany, loan, and trust account reconciliations across multiple entities
· Assist with monthly, quarterly, and annual financial reporting requirements
· Support the preparation and maintenance of annual corporate filings, minute books, resolutions, and compliance documentation
· Maintain accurate and organized digital corporate records in SharePoint in accordance with Paragon standards
· Assist with year-end preparation for external accountants, including reports, working papers, and supporting documentation
· Periodically managing the Paragon Design Build company phone during business hours to support accounts payable inquiries
Accounts Receivable (AR) Support
· Prepare and issue invoices for applicable corporate entities
· Monitor outstanding receivables and follow up as required
· Maintain accurate AR ledgers and support AR account reconciliations
· Assist with administrative processes related to rent rolls, intercompany charges, management fees, and internal cost allocations
Accounts Payable (AP) Support & Cross Training
· Cross train on the full Accounts Payable cycle for Construction and Property Management divisions
· Review, code, and verify invoices for accuracy and correct entity allocation
· Match invoices with purchase orders and receiving documentation
· Enter invoices into the accounting system and assist with payment runs
· Support the Controller in standardizing AP processes across the organization
· Assist with vendor onboarding and maintenance of vendor records
Corporate Reconciliations & Financial Accuracy
· Perform monthly reconciliations for assigned accounts across multiple corporations
· Investigate discrepancies and collaborate with internal teams to resolve outstanding items
· Maintain intercompany schedules and ensure accurate, timely allocations
· Prepare summaries and supporting reports for budgeting, audit, and financial review purposes
Administrative Support & Special Projects
· Assist with the development of accounting documents, templates, and standard operating procedures
· Support implementation of new systems, processes, and financial controls
· Assist with corporate insurance renewals, loan compliance documentation, draw packages, and related administrative requirements
· Provide general administrative support, including filing, digital organization, data entry, and correspondence
What You Bring to the Team:
· Diploma or certificate in Accounting, Finance, or Business Administration preferred.
· 2+ years of experience in an accounting or administrative role; experience in a multi-entity environment considered an asset.
· Strong understanding of basic accounting principles, including reconciliations, AP/AR, and general ledger work.
· Proficiency in Microsoft Excel and accounting software (QuickBooks Online/Desktop, Yardi, or similar).
· High level of accuracy, confidentiality, and professionalism.
· Strong communication and organizational skills with the ability to prioritize tasks effectively.
· Ability to work independently and collaboratively within a fast-paced team.

Compensation
$55,000.00 - $60,000.00 per year
Work Hours:
Monday to Friday, 8:30 AM to 4:30 PM
Must be eligible to work in Canada.
