The Opportunity
Reporting to the Property Manager, the Property Management Administrative Coordinator provides administrative and operational support to the Property Management team. This role plays an important part in ensuring efficient day-to-day operations, supporting resident communications, and maintaining organized systems across the portfolio.
This is an excellent opportunity for someone who enjoys administration, thrives in a team environment, and is eager to learn and grow within property management. Over time, this role offers development opportunities toward a Property Administrator or Administrative Assistant position.
What You’ll Be Doing:
Department & Resident Communication Support
· Monitor and support shared department email inboxes, ensuring timely and professional responses or appropriate routing of inquiries.
· Answer and manage incoming phone calls, directing inquiries to the appropriate team members and providing general information to residents and vendors.
· Assist with drafting and distributing resident communications, notices, and announcements.
· Support follow-up on resident requests to ensure accurate documentation and resolution tracking in Yardi or other internal systems.
Administrative & Office Support
· Provide day-to-day administrative support to the Property Management team, including document preparation, data entry, and file management.
· Maintain organized digital and physical filing systems (leases, notices, vendor documentation, etc.).
· Assist with processing paperwork related to move-ins, move-outs, and lease renewals.
· Support preparation of reports, spreadsheets, and internal tracking documents.
· Coordinate meeting scheduling, minute-taking (as required), and internal communications.
Property Operations Support
· Assist with updating and maintaining records in Yardi, SharePoint, and Microsoft 365.
· Support work order tracking and follow-up with maintenance coordination.
· Help prepare welcome packages and resident-facing materials.
· Provide general support during onboarding of new properties, including system setup and documentation organization.
Team & Office Collaboration
· Provide additional administrative support to the broader office as needed, including assisting the Administrative Assistant with general office coordination tasks.
· Support special projects and process improvements within the department.
· Contribute to a positive team culture aligned with The Paragon Way.
What You Bring
· Completion of Grade 12 or equivalent; post-secondary education in business administration or a related field is considered an asset.
· 1–3 years of administrative or office support experience.
· Strong organizational skills and attention to detail.
· Professional communication skills, both written and verbal.
· Comfortable working with Microsoft 365 (Outlook, Excel, Word, Teams); experience with Yardi or other property management software is an asset but not required.
· Ability to manage multiple priorities in a fast-paced environment.
· Strong customer service mindset and a willingness to learn.
· High level of confidentiality and professionalism.
· Strong interest in developing knowledge in property management and growing within the organization.
