The Opportunity
The Property Operations & Leasing Support Coordinator plays a key role in supporting both the Property Management and Leasing teams during high-volume operational and leasing periods. This hybrid position combines administrative, operational, and resident-facing responsibilities to ensure a seamless leasing experience and efficient day-to-day property operations.
This role is ideal for someone interested in property management, leasing, operations, or administration who enjoys working in a fast-paced, team-driven environment while delivering an exceptional resident and prospect experience.
What You’ll Be Doing
Leasing & Resident Experience
- Act as the first point of contact for leasing inquiries (phone, email, online platforms)
- Respond to inquiries in line with Paragon’s communication standards
- Schedule and conduct suite showings across assigned properties
- Ensure show suites and common areas are presented to Paragon standards
- Deliver a consistent, professional, and welcoming leasing experience
- Follow up with prospects post-showing to drive leasing conversions
- Assist with move-in coordination, including welcome packages and key handoffs
Property Operations & Administrative Support
- Assist with inventory control, including tracking and organizing tools, supplies, appliances, and keys
- Support appliance and materials inventory management, including counts and documentation
- Prepare resident welcome baskets and move-in packages
- Maintain organized records, logs, and trackers related to operations and leasing
- Support rent roll accuracy and unit status tracking
- Assist with coordination and preparation for busy operational periods
- Provide general administrative support to property and leasing teams
Reporting, Market Intelligence & Coordination
- Maintain accurate and up-to-date leasing and prospect trackers
- Compile weekly leasing reports including:
- Traffic and lead sources
- Showing-to-lease conversion ratios
- Vacancy, days on market, and leasing velocity
- Prepare market comparison reports (pricing, incentives, competitor analysis)
- Identify trends and flag opportunities to improve leasing performance
- Coordinate with Property Administrators on unit readiness and availability
- Support consistency across listings, pricing, photos, signage, and wayfinding
- Coordinate with marketing on listing updates and leasing campaigns
What You’ll Bring to the Team
- Post-secondary education in business, administration, property management, or a related field
- Strong organizational and time-management skills with keen attention to detail
- Comfortable performing both administrative and hands-on operational tasks
- Strong computer skills, including MS Office; experience with Yardi, RentCafe, or Rentsync is an asset
- Comfortable using mobile technology and applications
- Excellent communication skills with a professional, positive attitude
- Ability to work independently while supporting a collaborative team
- Familiarity with the Residential Tenancies Act is an asset
- Valid Class 5 Driver’s License and reliable vehicle
- Ability to provide a clear Criminal Records Check
